TERMS AND CONDITIONS

These Terms and Conditions govern your use of VenueHub.pk and any inquiry, quotation, booking, payment, event-management service, venue reservation, or vendor service arranged through VenueHub.
By using VenueHub.pk, submitting an inquiry, accepting a quotation, paying an advance, confirming a booking, or instructing VenueHub to begin work, you agree to these Terms and Conditions.
1. About VenueHub
VenueHub is an event-services and venue-booking platform. Depending on the booking, VenueHub may:
- Help customers discover venues
- Obtain quotations from venues or vendors against client’s requirement
- Coordinate complete event services as one-stop solution
- Directly provide selected event-management services
- Combine VenueHub services with third-party vendor services
The quotation, invoice, booking confirmation, or service agreement will identify the services included in your booking.
2. VenueHub’s Role
Some services may be supplied directly by VenueHub. Other services may be supplied as third party vendors, decorators, photographers, transport providers or rental providers.
Where an independent vendor supplies a service:
- The vendor remains responsible for delivering that service
- The vendor is responsible for its staff, equipment, licences, safety, and conduct
- VenueHub may facilitate communication, payment, or complaint handling
- VenueHub does not become the owner or operator of the vendor’s business merely by displaying or recommending it
VenueHub remains responsible for services that it expressly agrees to provide directly, subject to these Terms.
3. Eligibility
You must be at least 18 years old and legally capable of entering into a binding agreement to make a booking.
When booking for a company, family, organization, or another person, you confirm that you have authority to act on their behalf.
4. Accurate Information
You must provide complete and accurate information about:
- Event type
- Event date
- Event timings
- Number of guests
- Venue requirements
- Food and catering requirements
- Décor requirements
- Equipment requirements
- Activities planned at the event
- Any safety, accessibility, or legal requirements
VenueHub may cancel or revise a quotation where information supplied by you is false, incomplete, misleading, or materially different from the actual event.
5. Website Listings
Venue descriptions, photographs, starting prices, facilities, capacities, and package details may be supplied by venues or vendors.
VenueHub makes reasonable efforts to present accurate information. However:
- Availability may change
- Prices may vary by date, season, guest count, and requirements
- Venue capacity may depend on the seating arrangement
- Photographs may show optional upgrades
- Packages may change
- Vendor-provided information may contain errors
Website content is not a final contractual offer unless VenueHub confirms it in writing.
6. Quotations
A quotation may specify:
- Venue
- Event date and timing
- Number of guests
- Included services
- Excluded services
- Package price
- Taxes and service charges
- Advance amount
- Remaining-payment deadline
- Overtime charges
- Security deposit
- Cancellation conditions
- Quotation-expiry date
A quotation is valid only for the stated period. Prices and availability may change after that period.
Any service not clearly included in the quotation will be treated as an additional service and may involve an additional charge.
7. Booking Confirmation
An inquiry, website submission, phone call, venue visit, or quotation does not automatically confirm a booking.
A booking is confirmed only when:
- VenueHub or the relevant vendor confirms availability;
- You accept the final quotation or package;
- VenueHub receives the required advance payment; and
- VenueHub issues written booking confirmation.
Written confirmation may be issued through email, invoice, receipt, SMS, WhatsApp, booking form, or another electronic record.
8. Payments
VenueHub accepts:
- Approved online payments in venuehub account of Meezan Bank or Bank of Punjab only
- Bank or digital payments communicated by VenueHub
- Cash payments made through an authorized VenueHub representative or payment location
You must obtain and retain an official receipt or payment confirmation.
VenueHub will not be responsible for cash paid to an unauthorized person, vendor, employee, agent, or bank account not officially confirmed by VenueHub.
You are responsible for:
- Paying the correct amount
- Using the correct payment reference
- Meeting payment deadlines
- Paying bank or transaction charges where applicable
- Confirming that payment has been successfully completed
9. Advance Payments
All advance payments made to confirm a booking are:
Non-refundable and non-adjustable.
This means that, after confirmation, an advance cannot normally be:
- Refunded following customer cancellation
- Transferred to another event
- Adjusted against another service
- Transferred to another person
- Applied to another date
- Converted into cash or credit
Exceptions apply only where:
- VenueHub cancels a directly provided service and cannot provide a reasonable replacement;
- The relevant venue or vendor cancels and no suitable replacement is accepted;
- A duplicate or incorrect payment has been verified;
- VenueHub agrees otherwise in writing; or
- A refund is required under applicable law.
10. Remaining Balance
The remaining balance must be paid by the deadline stated in the quotation, invoice, or booking confirmation.
Failure to pay on time may result in:
- Suspension of planning work
- Release of the venue or vendor
- Cancellation of unconfirmed services
- Withholding of event-day services
- Additional costs caused by delay
Cancellation resulting from non-payment will be treated as customer cancellation. The advance will remain non-refundable and non-adjustable.
11. Booking Changes
Any requested change is subject to:
- Availability
- Vendor approval
- Venue approval
- Revised pricing
- Additional costs
- Written confirmation
Changes may include:
- Event date
- Event time
- Venue
- Guest count
- Menu
- Décor
- Stage design
- Photography package
- Equipment
- Transport
- Event duration
VenueHub is not required to accept a change after a booking is confirmed.
Unless VenueHub agrees otherwise in writing, changing the event date or venue will be treated as cancellation of the original booking and creation of a new booking. The original advance will not be refunded or adjusted.
12. Guest Count
You must provide an accurate final guest count by the deadline communicated by VenueHub.
Additional guests may result in extra charges for:
- Food
- Seating
- Tables
- Staff
- Crockery
- Venue capacity
- Security
- Equipment
- Service time
Reducing the guest count after confirmation does not automatically reduce the agreed price or create a refund entitlement.
13. Customer Responsibilities
You are responsible for:
- Complying with venue rules
- Ensuring lawful conduct
- Supervising guests and children
- Preventing damage
- Staying within the agreed capacity
- Following event timings
- Obtaining special permissions where required
- Informing VenueHub of dangerous or unusual activities
- Protecting personal property
- Following safety and emergency instructions
14. Prohibited Activities
The following are prohibited unless expressly authorized and legally permitted:
- Illegal activities
- Violence, threats, or harassment
- Weapons
- Illegal drugs
- Property damage
- Exceeding venue capacity
- Unauthorized fireworks
- Dangerous electrical equipment
- Activities creating serious safety risks
- Unauthorized ticketed or commercial events
- Misrepresentation of the event type
- Activities prohibited by the venue or authorities
VenueHub or the venue may stop an event where conduct creates a legal, safety, security, or property risk. No refund will be due where the event is stopped because of the customer’s or guests’ conduct.
15. Venue and Property Damage
The customer is responsible for damage caused by:
- The customer
- Guests
- Invitees
- Contractors hired by the customer
- Performers
- Children attending the event
- Equipment brought to the event
VenueHub or the relevant venue may charge for:
- Repairs
- Replacement
- Cleaning
- Missing equipment
- Damage assessment
- Lost revenue caused by damage
A security deposit may be required. The security deposit is separate from the booking advance.
16. Event Timings and Overtime
The event must begin and end within the agreed timings.
Additional time is subject to:
- Venue availability
- Staff availability
- Local restrictions
- Overtime charges
- Written or event-day approval
Using a venue or service beyond the agreed period may result in additional charges, to be paid upfront.
18. Customer Cancellation
A customer cancellation must be submitted in writing through VenueHub’s official email, WhatsApp, or another confirmed communication channel.
Unless expressly stated otherwise:
- The advance is non-refundable and non-adjustable
- Work already completed remains chargeable
- Custom orders and purchased materials remain chargeable
- Venue or vendor cancellation charges may apply
- Services already delivered are not refundable
- Outstanding amounts may remain payable where VenueHub has incurred non-cancellable costs
19. Cancellation by VenueHub or a Vendor
If VenueHub or a vendor cannot provide a confirmed service, VenueHub may offer:
- A suitable replacement
- An alternative venue or vendor
- A revised package
- Rescheduling
- A credit, where approved
The appropriate remedy will depend on which service was cancelled, whether a replacement is available, and whether part of the booking has already been performed.
20. Force Majeure
VenueHub and its vendors will not be treated as responsible for delay or non-performance caused by circumstances reasonably beyond their control, including:
- Flooding
- Fire
- Severe weather
- Earthquake
- Epidemic
- Government restrictions
- Civil disturbance
- Road closures
- Utility failure
- Internet or telecommunications failure
- Labour disruption
- Security emergency
- Venue closure ordered by authorities
A force-majeure event does not automatically create a refund or adjustment entitlement. VenueHub may, at its discretion and subject to vendor availability, offer rescheduling, replacement services, or credit in writing.
21. Photographs and Promotional Content
VenueHub may publicly use identifiable photographs from a private event without appropriate permission.
VenueHub may use photographs or videos for:
- Website content
- Social media
- Advertising
- Portfolio presentation
22. Reviews
Reviews submitted to VenueHub must be:
- Based on a genuine experience
- Accurate and honest
- Relevant to the service
- Free from threats, abuse, discrimination, and unlawful content
VenueHub may remove reviews that are fraudulent, misleading, irrelevant, abusive, unlawful, or submitted for manipulation.
23. Intellectual Property
VenueHub’s website, logo, branding, text, graphics, layouts, software, databases, photographs, videos, and original content are protected by applicable intellectual-property laws.
You may not copy, reproduce, scrape, republish, sell, modify, or commercially use VenueHub content without written permission.
24. Limitation of Liability
To the maximum extent permitted by applicable law, VenueHub will not be liable for:
- Indirect or consequential loss
- Loss of profit or business opportunity
- Loss caused by inaccurate information supplied by a customer or vendor
- Customer or guest misconduct
- Personal belongings lost at an event
- Events outside VenueHub’s reasonable control
- Independent vendor actions that VenueHub did not authorize or control
- Differences caused by weather, lighting, seasonal availability, or venue layout
Nothing in these Terms excludes liability that cannot lawfully be excluded or removes any mandatory consumer right.
25. Indemnity
You agree to compensate VenueHub for reasonable losses, claims, damages, penalties, and expenses resulting from:
- Your unlawful conduct
- False or misleading information
- Damage caused by you or your guests
- Violation of venue rules
- Unauthorized use of intellectual property
- Your breach of these Terms
This clause applies only to the extent permitted by applicable law.
26. Suspension or Refusal of Service
VenueHub may refuse, suspend, or cancel access where a person:
- Provides false information
- Engages in fraud
- Abuses staff or vendors
- Creates a safety risk
- Fails to make payment
- Misuses the website
- Violates these Terms
- Participates in unlawful activity
27. Governing Law and Disputes
These Terms are governed by the applicable laws of Pakistan.
You should first submit a written complaint to VenueHub so that the parties can attempt to resolve the matter through good-faith discussion.
Where the matter cannot be resolved, it may be referred to a competent court or authority in Pakistan, subject to any mandatory consumer-protection rights.
28. Changes to These Terms
VenueHub may update these Terms from time to time.
The Terms in effect when a booking is confirmed will normally govern that booking unless a change is required by law or separately agreed in writing.
